How to enable email verification for new users

Email verification

Email verification ensures that users have access to the email address they provided.

Why use email verification?

Enable verification

Open the setting

  1. Go to Admin > Settings
  2. Select “Security” or “Authentication”
  3. Find “Email verification”

Enable

  1. Click the toggle switch
  2. On = verification required
  3. Click “Save”

How does verification work?

Process for new users

  1. User registers or is invited
  2. User receives a verification email
  3. User clicks the confirmation link
  4. Email address is verified
  5. Full platform access is granted

Without verification

Until verified:

  • User can not log in, or
  • User can log in, but functions are restricted

Verification email

Email content

The email contains:

  • Greeting with the user name
  • Confirmation link for verification
  • Validity: Link is valid for 24-48 hours
  • Notes if the email was not expected

Resend email

If a user did not receive the email:

For users:

  1. Click “Resend verification email” on the login page
  2. A new email is sent

For administrators:

  1. Go to Admin > Users
  2. Find the unverified user
  3. Click “Resend verification”

Existing users

When enabling the feature

If you enable verification later:

  • Already verified users: No change
  • Unverified users: Must now verify

Manually verify users

As an administrator, you can manually verify users:

  1. Go to Admin > Users
  2. Find the user
  3. Click ”…” > “Mark as verified”

Note: Use only in exceptional cases.

Troubleshooting

User receives no email

  1. Check spam folder
  2. Check email address for typos
  3. IT department: Add sender to whitelist
  4. Resend: Request verification email again
  5. Manual verification: As a last resort

Recommendation

When should you enable it?

Recommended for:

  • Companies with high security requirements
  • When users can register themselves
  • Sensitive course content

Not strictly necessary for:

  • Small teams with trusted invitations
  • Purely internal training
  • Fast onboarding needs
